Privacy Policy

Last updated: 17 September 2026

VenueGlide ("VenueGlide", "we", "us" or "our") provides VenueGlide OS, a cloud-based booking and management platform for sports and recreation venues. This policy explains how we collect, use, disclose and protect personal information when you visit venueglide.com.au (the "Site"), book a demo, contact us, or use VenueGlide OS as a venue, staff member or end-customer of a venue running on our platform.

We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth). If you are located outside Australia, we still apply the standards in this policy to your information.

Information we collect

Depending on how you interact with us, we may collect:

Contact details — name, email address, phone number and business/venue name, when you book a demo, submit a contact form, or sign up for VenueGlide OS.
Account and venue data — booking, membership, point-of-sale, coaching and payment records that a venue enters or that its customers generate while using VenueGlide OS.
Payment information — payments made through VenueGlide OS are processed by Stripe; we do not store full card numbers on our own servers. Accounting data may sync with Xero where a venue enables that integration.
Usage and device data — pages visited, referring pages, browser and device type, and approximate location, collected automatically when you browse the Site.
Cookies and similar technologies — see "Cookies and tracking tools" below.

How we use your information

To provide, operate and support VenueGlide OS for venues and their customers, including bookings, memberships, payments and reporting.
To respond to enquiries, book demos, and provide sales and customer support.
To improve the Site and VenueGlide OS, including understanding how visitors use our pages.
To send service updates, invoices and, where you've agreed, marketing communications — you can opt out of marketing emails at any time.
To meet legal, accounting and security obligations, and to detect or prevent fraud and misuse.

Cookies and tracking tools

The Site uses cookies and similar technologies to understand traffic and improve the browsing experience. We currently use:

Microsoft Clarity — session and behavioural analytics (e.g. page views, scroll and click patterns) to help us understand and improve how the Site is used.
Meta Pixel — helps us measure the effectiveness of advertising and understand the actions people take on the Site after seeing a Meta (Facebook/Instagram) ad.
Calendly — demo bookings are made through an embedded Calendly calendar. The details you enter there are collected by Calendly and shared with us so we can run the demo, under Calendly's own privacy policy.
VenueGlide visit records — our own first-party records of the pages you visit, how long you spend on them, where you came from, your device type, and whether you click to call, email or WhatsApp us or open a form. A random ID stored in your browser links your visits together. If you send us an enquiry or demo request, we link these records to the details you give us so we can follow up on what you were interested in. These records stay on our own hosting and are not sold or shared.

You can control or disable cookies through your browser settings. Blocking cookies may affect some functionality of the Site, but you can still browse and contact us.

How we share information

We do not sell personal information. We may share it with:

Service providers who help us run VenueGlide OS and the Site — for example Stripe (payments), Xero (accounting sync), Igloo (smart-lock access), hosting and infrastructure providers, and analytics/advertising providers named above.
The venue you book with or are a member of, where information is needed to fulfil a booking, membership or coaching session.
Regulators, law enforcement or other parties where required by law, or to protect the rights, safety or property of VenueGlide, our customers or others.

Data storage and security

We store data on reputable cloud infrastructure and use reasonable technical and organisational measures — including encryption in transit, access controls and regular review of our systems — to protect personal information against misuse, loss and unauthorised access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data retention

We retain personal information for as long as needed to provide our services, comply with legal, tax and accounting obligations, and resolve disputes. When information is no longer required, we take reasonable steps to delete or de-identify it.

Your rights

You may ask us to access, correct, or delete the personal information we hold about you, or ask questions about how it is handled. Depending on your relationship with a specific venue, some requests about booking or membership records may need to go through that venue directly, since they control that data within VenueGlide OS. To make a request to VenueGlide, contact us using the details below.

Children's privacy

The Site and VenueGlide OS are intended for business use by venue operators and their adult customers. Where a venue records information about junior players (for example, in coaching or academy programs), that information is collected and controlled by the venue in line with its own obligations to parents and guardians.

Changes to this policy

We may update this policy from time to time to reflect changes to our practices or for legal, operational or regulatory reasons. The "last updated" date at the top of this page will always reflect the current version.
